Description:
Back orders will only be created if the Back Order feature is enabled. This is managed by a Crik-IT administrator in-house user, from the Tools tab, Company Configuration page. See Requirements section below for more information.
A back order will only be created for an order that was originally created from a quote. So, if you want Crik-IT to automatically create a back order, a rep or in-house user must first enter a quote, then convert that quote to an order.
When an order that was originated from a quote is submitted, Crik-IT looks at each line item on the order to determine if the full quantity was shipped. If any line on the order has a submitted quantity less than the quantity that was originally entered on the quote, Crik-IT will automatically create a back order for the difference. The order number on the new back order will be the same as the original quote appended with "-1". If the back order is later submitted with lines that have submitted quantity less than the back ordered quantity, Crik-IT will create another back order for the difference. The order number on the new back order with be the same as the original quote appended with "-2". This process continues until the total submitted quantity is equal to or greater than the original quote quantity for all lines.
If the customer decides they will take partial shipment for an item and want you to cancel the remaining quantity, simply delete that item from the back order that is created; if there is only one item on the back order, you can delete the entire back order.
Example:
Quote - Reference Number 2222:

That quote is converted to an order, then that order is submitted with quantities as shown below:

Because the submitted quantity is less than the original quantity, a back order is created, as shown below. Note that the Original Quantity on the new back order is the remaining number still to be submitted; since 0 of 123456 were submitted, the new Original Quantity is still 10; since 2 of the original 20 ABCDEF were submitted, the new Original Quantity is 18.
[Note: if your customer decides they are happy with the 2 ABCDEFs and want to cancel the remaining 18, you can simply delete the ABCDEF line from the back order.]

Because the submitted quantity for item ABCDEF is less than the Original Quantity on order 2222-1, a back order is created, as shown below. Since the submitted quantity for item 123456 is not less than the Original Quantity, that item is not on the back order.

Since the submitted quantity is not less than the original quantity, no back order is created, and the order stream created from quote #2222 is now complete.
Requirements:
- Must be subscribed to the Crik-IT Sales Force or Full Circle package.
- Must be configured to Use Quotes and Create Back Orders in the Crik-IT Company Configuration page.
General Notes:
- This feature is most useful to subscribers who use QuickBooks Online to run their business. This is because QuickBooks Online does not currently have order processing or back order functionality.
- A Crik-IT back order has no effect on inventory quantities in QuickBooks or on the inventory available quantities that shows in Crik-IT.
- Only rep and house users can create quotes, or convert a quote to an order.
- If "Create Back Orders" is enabled:
- Any order created from a quote will cause a back order to be created if the submitted quantity is less than the quoted quantity for any line item on the quote, regardless of the type of user (customer user, rep user, or in-house user) submitting the order.
- Back orders will only be created for lines that were originally entered on the quote. Back orders will not be created for any lines added directly to an order created from a quote or to a back order.
- An order that is created by copying an order that was created from a quote or from a back order, will not create back orders.
- An order that was created from a quote or from a back order can be made a "standard order", but back orders will not be created for any orders created from that standard order.

Volume Pricing is not compatible with back-order functionality:
- Explanation: If an item has volume pricing, the order quantity cannot be changed on an order created from a quote. So, if the quantity to be submitted is different than the quantity that came from the quote, the user will have to delete that line and re-add it. When re-adding the line, Crik-IT will use the correct volume price, but the original quoted quantity will no longer be available. So Crik-IT will have no way of knowing if the submitted quantity is different than the quoted quantity and therefore, if a back order is needed.
Notes about kit items (or bundle items) and back orders:
- A component item of a kit cannot be back-ordered independent of the kit parent item. In other words, a component item will not be automatically included on a back order if the kit parent item is not itself being back-ordered. If a component item of a kit must be included on the back order independent of the kit parent item, you must add it to the generated back order manually.
- If a kit item is being back-ordered, the kit parent item and the related kit components will be included on the back order. You must check the order quantities of the components carefully. If you changed the quantities of any of the components before submitting the order that will create the back order, the back order will retain those changed quantities.
