This article is designed to show you how the Track Allocated Inventory feature works and how it can help you better manage your inventory as well as your orders.
Note that the Track Allocated Inventory feature only calculates for items that are labeled as inventory in your QuickBooks.
Turn on the Track Allocated Inventory feature
Go to the Tools tab and click on Company Configurations in the "Other Tools" section.
Under "General Settings" find Track Allocated Inventory and check the checkbox.
A message will appear on screen as Crik-IT must perform calculations to enable this feature. Once the calculations are complete, click "ok" on the pop-up message.
Configure the Track Allocated Inventory feature
Once your Track Allocated Inventory feature is turned on, you can configure this feature in various ways.
- Should QBO Estimates in Pending status be deducted from Available Qty?
- If checked, QBO Estimates in both Pending status and Accepted status will be taken into account when calculating available quantities.
- If unchecked, only QBO Estimates in Accepted status will be taken into account when calculating available quantities.
- Available Quantity Calculation
- If you select "On hand from QBO product minus Quantity on QBO Estimated" you will be able to see available inventory based on the subtraction of inventory on QBO Estimates from On hand QBO inventory.
- If you select "On hand from QBO product minus Quantity on QBO Estimated minus Quantity on unsubmitted Crik-IT orders" you will be able to see available inventory based on the subtraction of inventory on QBO Estimates and inventory on Crik-IT unsubmitted orders from On hand QBO inventory.
Depending on the Available Quantity Calculation option you select and whether or not you check Should QBO Estimates in Pending status be deducted from Available Qty? you will be able to see the following:
- Available inventory based on the subtraction of inventory on QBO Estimates from On hand QBO inventory. That is, Available Inventory = On hand QBO Inventory - Inventory on QBO Estimates.
This is what you'd see in your Inventory tab.
- Available inventory based on the subtraction of inventory on QBO Estimates as well as inventory on Crik-IT unsubmitted orders from On hand QBO inventory. That is, Available Inventory = On hand QBO Inventory - (Inventory on QBO Estimates + Inventory on un-submitted Crik-IT order).
This is what you'd see in your Inventory tab.
- Available inventory based on the subtraction of inventory on QBO Accepted Estimates from On hand QBO inventory. That is, Available Inventory = On hand QBO inventory - Inventory on QBO Accepted Estimates.
This is what you'd see in your Inventory tab.
- Available inventory based on the subtraction of inventory on QBO Accepted Estimates as well as inventory on Crik-IT un-submitted orders from On hand QBO inventory. That is, Available Inventory = On hand QBO inventory - (Inventory on QBO Accepted Estimates + Inventory on un-submitted Crik-IT order).
This is what you'd see in your Inventory tab.

If you have configured your Available Quantity Calculation to subtract quantities On Unsubmitted Crik-IT Orders, if a user changes the order quantity for an inventory item and then saves the order without immediately submitting it, the new order quantity will be the quantity that is subtracted from the "available" calculation; i.e. the quantity that will be back ordered will not be subtracted from the "available" calculation (until after the order with the changed quantity is submitted).
