Crik-IT's Contact Notes keeps your sales reps and in-house users up-to-date on customer interactions.
Only Rep users and In-house users can access Contact Notes. Customer users cannot see Contact Notes at all.
Sample Contact Note:
Contact Notes are used to record notes about phone conversations, customer visits, collection calls, and more. They are also used to enter upcoming tasks, meetings, and to-dos.
When creating a new contact note, Crik-IT will default the contact note due date to the current date, which the user can then change to another date.
The email reminder date will default to one day before the contact note is due, but this can also be changed to fit the user's needs.
If the user wishes to receive the reminder email one week prior to the due date for example, they can configure it like so; or, if they wish to receive the reminder email two days after the due date, they can also configure this to be the case.
If the reminder date is set in the future, a message will appear below the date, emphasizing that the reminder date was set in the future.
When entering a new Contact Note, you can assign it to another Crik-IT user and can configure it so that this user gets notified that a new Contact Note was assigned to them.
After changing the status of a contact note to "complete" and saving it, a pop up will appear on screen and ask the user if they wish to create a follow up contact note. The user can click on "Ok" to create the follow up contact note. If the user does not wish to create a follow up contact note, they will click on "Cancel".
The create a follow up note pop up will show up every time a contact note's status is changed from "Pending" to "Complete" and it gets saved.
Being able to create multiple follow ups can allow a user to create a step by step workflow using contact notes if they wish to do so. For example, the original contact note is a phone call, the first follow up note is an email, the second follow up is a meeting, and so on.
In-house users can customize what shows up in the Contact Note Status and Type drop-down fields. This is done in Tools tab, in Maintain Drop Down Values.
