Crik-IT reads the rep information from the QuickBooks customer Other field or from the QuickBooks customer Notes field. See this article for more information on this: QuickBooks Online: I want my sales reps to see only their own customers? How do I do this?
But... it can be very tedious to have to update one customer at a time in QuickBooks... so, we found a way to make this easier! Here's a summary of how to do this... or, if you prefer, check out this video where we walk through an example mass updating the customer Notes field.
- Export your customer list to Excel.
- Next, connect your QuickBooks to an import tool. Go to the Apps option on the QuickBooks menu:
- ... and search for "import"
- We used the app called Bulk Import Excel | CSV | IIF - SaasAnt Transactions Importer. There is a free trial, but if you have a lot of data to update, you might have to pay for a month.
- Next, open the Customer list that you exported from QuickBooks in the first step and make the changes you need. We deleted the columns that we didn't need and the rows (customers) that we weren't going to be updating. You can add columns if the column you need to update wasn't provided in the customer list download. We're going to update the Notes field for two customers with the sales rep info (don't forget to put the period at the end of the rep code!). Don't forget to save your changes.
Note: If your Crik-IT portal is configured to look for the rep in the QuickBooks customer "Other" field, you should have a column with heading "Other", instead of "Notes", and you would only put BOB or DEB in the Other column -- the "SalesRep:" and period should not be used.
- Next, go to the Bulk Import app, click the Modify option on the left menu, then either drag & drop or select the Excel file.
- Click the Continue button in the lower right corner of the page.
- Next, select the worksheet (the default should work fine) and select "Customers" from the QuickBooks Entity drop down.
- Now you have to match the Excel spreadsheet columns with the appropriate QuickBooks Customer field. Very important that for the "Display Name As" field, you select the Excel spreadsheet column that contains the customer name.
- For our example, we only have one other field to map, which is the Notes field. If your Excel spreadsheet column heading is the same as the QuickBooks field name, the tool will automatically map that field... like this:
- When you are ready, click the Update QuickBooks button at the bottom right of the page. When the import is done, you will see this message:
That's it! Piece of cake!
