Do you separate your products by product line or category? Do you have "approved product lines", meaning do you allow some of your customers to only have access to some of your product lines? If so, this is how you can prevent users from accessing or ordering items that a customer is not authorized to access.
First, create a ticket requesting that we turn this feature on for you; there is no additional charge for this feature. In the ticket, please provide your company name and Crik-IT user name.
If you haven't already set up item categories in your QuickBooks system, you'll need to do that. Refer to this help article for more info on how to do this. Note that you can have only one product line per item.
Then, for any customer who should NOT have access to all product lines, in QuickBooks Online, anywhere in the customer Notes field, add "ProductLines:ProductLine1,ProductLine2,...ProductLine99." where "ProductLine1", "ProductLine2", etc. are the product lines the customer is authorized to access. Separate the product lines with a comma. After the last product line, put a period.
Here is an example. Bridget is authorized to sell items in product lines "Big Stuff" and "Garden Supplies". Here's how this will be set up in the QuickBooks customer notes field:

- If a customer should have access to only some of the product lines AND to any item that is not assigned to a product line, add "None" to the ProductLines. So the example above would be:
ProductLines:Big Stuff,Garden Supplies,None.
- Please do not include a period (.) in your product line name as Crik-IT stops reading your product line name after it sees the period (.). For example, in the case of 'ProductLines:Pet.Co.' Crik-IT would stop reading after 'ProductLines:Pet.' so to get the full name of your product line into Crik-IT, you would want to write it 'ProductLines:Pet Co' for instance.
- Changes you make in QuickBooks will be in the portal within 15 minutes. Once your ProductLines changes sync to the portal, items that a customer is not authorized to order or access can no longer be entered on an order, by ANY user.
