The default configuration has orders submitted via Crik-IT to go to QuickBooks as an estimate, and QuickBooks assigns the estimate number. You can see which Crik-IT order created the estimate because the Crik-IT order reference number shows in the "Message displayed on statement" area of the estimate, like so:
This works fine for many of our subscribers. But, some have asked us to have the estimate number in QuickBooks have some relation to the Crik-IT reference number. So, we came up with a way to do this!
We can configure Crik-IT to NOT use QuickBooks's estimate number sequence when sending an order from Crik-IT to QuickBooks. Instead, we can send the Crik-IT order reference number, prefaced with "C-" (or whatever you would like the preface to be), to as the estimate number. Here's an example:
This order in Crik-IT:
Will create an estimate in QuickBooks with estimate number C-134:
If you would like us to do this, first we need you to confirm that your QuickBooks system is configured to NOT allow custom transaction numbers. You'll find this in QuickBooks settings, the sales section. This setting needs to be set to Off. Note that with this setting set to Off, you will not be able to enter or change the estimate number. But, if you have it turned On, when you manually enter an estimate in QuickBooks, QuickBooks will use the same format for the estimate number as used by Crik-IT (e.g. C-134), which can lead to errors when Crik-IT tries to send estimates to your QuickBooks.
Once you have confirmed that, please open a ticket with us requesting that we enable this Crik-IT feature for your company. Please provide your company name and your contact info in the ticket, and if you'd like the estimate number to be prefaced with something other than "C-", let us know what you would like to use as the preface (no more than 3 characters).
Notes:
- Your portal must be configured to have Crik-IT automatically assign the Crik-IT order reference number and not allow the user to change it (this is the default).
