General Information
The back orders functionality is only available to subscribers who are on our Sales Force Package.
Back orders can only be created if the Quotes feature is enabled, and if the 'Create Back Orders' function is enabled.
Back orders can only be created for orders that were initially quotes. This is how: If an order created from a quote is submitted with fewer units than were entered on the quote, CrikSales will automatically create a back order containing the remaining units. More on this below!
How to Enable Back Orders
This can only be enabled by in-house users set as admin.
Go to the Tools tab and click 'Company Configuration'.
There, check 'Use Quotes feature' under Feature Settings.
Now check 'Create Back Orders'.
How to Create Back Orders
First, Create a Quote & Convert it to an Order
As mentioned, back orders can only be created for orders that were initially quotes. To create a back order, you must therefore create a quote first. You can click here for a help document on quotes.
On the quote, add the items your customer wants to purchase and enter the units they want to order.
When you've added all the items and entered the units, you can convert the quote into an order by clicking 'Convert to Order'. For information on converting quotes into orders click here.
Once you've clicked 'Convert to Order' you'll be redirected to the order entry page. The order number will be the same as the original quote number. On the order, you'll see the items you initially added to the quote and the number of units for each item.
Creating Back Orders
When an order that was created from a quote is submitted, CrikSales looks at the submitted quantity for each line item and compares it to each item quantity entered on the original quote. If the submitted quantity for any item is lower than the quantity entered on the original quote, CrikSales reads the order as partially fulfilled and automatically creates a back order containing the remaining units.
For example, if you know that only some of the items on the order can be fulfilled, or only part of the quantity ordered can be shipped for a specific item, you can submit the order with the unit count for items that can be fulfilled. CrikSales will then create a back order with the units remaining to be fulfilled for those items.
CrikSales will continue to create back orders until the original quantity for each item entered on the initial quote has been fulfilled.
Example
When CrikSales creates a back order, it will use the same order number as the partially-fulfilled order, appended with a -1.
Multiple Back Orders for the Same Order
To keep creating back orders for the same order, simply repeat the process outlined above. In other words, submit the back order with the unit count for items that can be fulfilled as needed.
If the unit count for any item on a submitted back order is lower than that entered on the original quote, CrikSales will continue to create back orders until the full unit count (for all items) is fulfilled per the quantity entered on the original quote.
The following back orders will have the same order number appended with -2, -3, -4, etc.
Example
Part of back order 2913-1 can be fulfilled, so the back order is submitted with the quantity that can be fulfilled, creating back order 2913-2.
Part of back order 2913-2 can be fulfilled, so the back order is submitted with the quantity that can be fulfilled, creating back order 2913-3.
The 'Administrative fee' item will no longer appear on back orders for order 2913, as it has been fully fulfilled per the quantity entered on original quote after the submission of back order 2913-2. As seen below, it is not included on back order 2913-3.
Important notes:
- If all the units ordered for a specific item need to be fulfilled at a later date, set the item's unit count to 0. Do not delete the item from the order.
- If the customer no longer wants to purchase the item, delete it from the order. This will make it so the deleted item does not appear on a back order (for this order).
- CrikSales will only create a back order for items that were originally on the quote. If items that were not on the quote are added to the order, remaining units for those items will not appear on back orders.
