This article goes over how to add a lead in Crik-IT as well as how to convert a lead into a customer.
Both reps and in-house users can add a lead in Crik-IT, but only users who are given permission can convert a lead into a customer.
The leads feature in only available for those on our Sales Force or Full Circle plan.
How to Add a Lead in Crik-IT
Click here for a short video on this!
- Step 1: Go to the Leads tab and click on "Add New Lead"
-
Step 2: You will land on the Lead Info page. Fill out the requested information.
- If you are an in house user, you cannot save a lead unless you enter a company name and select a sales rep.
- If you are a sales rep, you must enter a company name; the sales rep field will default to yourself and cannot be changed.
-
- Fill out as many fields as possible, as our duplicate leads tracking technology searches for duplicates by looking at "Company Name", "Address Line 1", "City", and "Zip".
- Step 3: Once you have filled out the Lead Info page, click on "Save Lead Info" at the top of the page.
Note that once a lead is saved, it should appear on the Leads tab. You can always edit a lead to modify information, edit contacts, add contact notes, and more.
Duplicate Leads
To minimize the risk of having duplicates in Crik-IT, if a lead that you are saving is a potential duplicate of any existing leads or customers, Crik-IT will show them on the screen. Crik-IT uses "fuzzy" logic to find potential duplicates if the name is similar, as well as looking at address information. If any of the listed customers or leads is indeed the same company as the lead you're entering, do not save the new lead!
IMPORTANT:
If one of the potential duplicates has a name that is identical to the lead that you are saving, click Cancel Save, then change the name of the lead you're working with to make it different from any other lead or customer in Crik-IT.
Why do you have to do this? Because QuickBooks does not allow you to have multiple customers with identical names, even if they are indeed different customers.
So, for example, you might work with a school in Tennessee called "Franklin High" and start working with another school in Georgia called "Franklin High". The second "Franklin High" cannot be saved in your QuickBooks with this name, so you should not save the lead with this name.
What you could do then, is include a differentiator in the "Company Name" field; in the case of the example given above, you could name your lead "Franklin High GA", then save the lead.
How to Convert a Lead Into a Customer
Click here for a short video on this!
- Step 1: Click on the lead's Company Name.
- Step 2: Click on "Convert This Lead to Customer" at the top of the page. You will only see this if you have the permission to convert a lead into a customer.
- Step 3: You will see a pop up message at the top of the screen asking you if you want to create a new customer in your QuickBooks from this lead, or if you want to import/merge this lead's data with that of an existing customer. You will also see the option to cancel.
Converting Lead to Customer
-
- If you choose the option to convert the lead into a customer, you will see another message telling you that if you go ahead, this will create a customer record in your QuickBooks, create a new customer in Crik-IT, and delete it from leads.
- NOTE: You will only see this option, if you (the user) have been given permission to create a new customer in QuickBooks by converting a lead.
-
- If you wish to proceed, click "Create New Customer in QuickBooks". If you do not, click on "No, Don't Create Customer".
-
- If you clicked "Create New Customer in QuickBooks" you'll be taken to your new customer's dashboard page.
