This article is designed to show you how to add a sales rep account to your Crik-IT portal. By doing so, you will be able to log in to a sales rep account and see what your sales reps would see when they log in to their respective accounts.
1. Assign Customers to Your Rep
If you are QBO trial user, click here to learn how to assign customers to a sales rep. This step is not required for QBD trial users, as Crik-IT will know which customer is assigned to which rep by looking at the Rep field on the QBD customer record.
Please note: A rep username cannot contain special characters. When creating a rep in QuickBooks, please use letters only.
2. Add a Rep User Account
Note that any changes made in QBO takes about 15 minutes to be reflected in Crik-IT, and any changes made in QBD takes about 30 minutes to be reflected in Crik-IT.
Log into your Crik-IT portal, click on the Tools tab, then under "Maintain Other User Info" click on Add Portal User.
Under "Relationship" select "Rep".
Crik-IT will display a list of your reps to chose from, select one and fill out the requested information.
If you are a QBO trial user, and your sales rep doesn't appear on the list, the changes you've made in QBO haven't synced over to Crik-IT yet, or there might be another issue. Contact support@crik-it.com if you need any help resolving this.
Important:
Note that the email address you enter when setting up the rep's user account will receive a couple of emails. So, if you are setting up a rep user account for you to use yourself during the trial, make sure you use your own email address when setting up the rep's user account. If you have one of your reps helping you evaluate Crik-IT during the trial period, go ahead and use that rep's email address.
3. Set Up Your Rep Account Password
A confirmation will appear on screen and you will receive a Welcome email from Crik-IT containing a username for your rep account, as well as a link to set up your rep account password.
Make sure to log out of your Crik-IT portal before setting up a password for your rep account, since Crik-IT does not allow someone to be logged into Crik-IT with two usernames at the same time on the same browser.
4. Explore Your Sales Rep Portal
Depending on how your portal is configured, the landing page might be the Contact Notes page, the Customers page, or the Sales Dashboard page showing you a high-level picture of how your business is doing.
Go to the Customer tab to see a list of the rep's customers. Clicking on the company name of a customer takes you to a page containing more data pertaining to that customer.
On the top right corner of Customer Details Page you will see a small icon that says "New Order" and clicking on it will allow you to enter a new order for that customer. Here's a video showing how a rep enters an order.
If you are on the Sales Force or Full Circle plan your rep will see another icon next to "New Order" that says "New Quote"; clicking on it will allow you to enter a new quote for that customer.
Allowing your sales reps to directly place orders takes part of the order entry burden off your staff and yourself.
On the customer dashboard you will also see the customer information you choose to make available to your reps. You can configure this in the "Customer Details Page Permissions" section in Maintain Permissions.
If a customer's current balance is red it is overdue.
Scroll down to find customer contacts, contact notes, customer attachments (such as agreements, documents, images, etc.), opportunities, and sales graphs.
Go to the Reports tab to see the sales reports your sales rep has access to. You can choose which reports you want your sales reps to have access to in the "Report Tab Permissions" section in Maintain Permissions. Your sales rep can also see the company's available inventory depending on how you configure your sales rep's portal, as well as files and documents you have shared with them in the Library tab.
